Starter vs Growth vs Scale: Which Package Does Your Startup Need?

Compare Backoffice Builder packages by team size, workflow complexity, access needs, and reporting requirements.

Package names are useful only when they help a team make a scope decision. The right Backoffice Builder package is not simply the largest option you can afford. It is the smallest reliable foundation for your current records, workflows, controls, and near-term growth.

Starter, Growth, and Scale represent different levels of operating coordination. Custom is available when headcount, entities, integrations, or process exceptions make a standard baseline misleading.

This guide explains how to choose without paying for complexity too early.

Starter: establish one source of truth

Starter is designed for teams of roughly 1–20 people building their first controlled back-office system. The strongest use case is replacing a small set of spreadsheets with core HR or vendor records, one administrator, and straightforward requests or reminders.

A Starter first phase might include an employee database, onboarding checklist, leave tracker, headcount report, vendor database, contract dates, renewal reminders, and simple status tracking. The system creates a clear home for information and repeated tasks without introducing many roles or conditional approvals.

Choose Starter when one person still owns most operations, managers need limited interaction, data volumes are modest, and exceptions can be handled visibly rather than automated.

Starter becomes too small when several departments need different permissions, approvals regularly involve multiple people, or leadership needs cross-team dashboards.

Growth: coordinate managers and repeated approvals

Growth is commonly suited to teams of about 21–50 people. At this stage, the operations challenge is no longer just storing records. Managers participate in requests, approvals, onboarding, vendor decisions, and reporting.

A Growth first phase can add manager roles, employee and vendor documents, invoice status, request forms, reminders, notifications, approval logs, and one or more dashboards. The focus is reducing follow-up work while making ownership visible.

Choose Growth when several people update or consume operating data, managers need scoped access, approval decisions should be recorded, and the team wants current status without rebuilding a weekly report.

Growth is often the right balance for a startup that has hired an HR or operations lead and wants to turn informal routines into repeatable systems.

Scale: control complexity across departments

Scale is intended for teams of roughly 51–100 people or smaller organisations with unusually complex workflows. It provides room for multi-step approvals, advanced access control, document permissions, several dashboards, and broader automation.

Choose Scale when the business has multiple departments, approval authority varies by amount or category, sensitive information requires granular permissions, audit evidence matters, or several systems must exchange data.

Scale projects require more discovery and testing because there are more combinations of roles, rules, and exceptions. That does not mean every available feature should launch together. A Scale foundation can still be delivered in phases.

When Custom is the honest answer

Custom is appropriate for teams above 100 people, multiple legal entities, regional operations, large historical migrations, or workflows that cannot be described using a standard baseline.

It may also apply to a smaller company with specialised compliance requirements, complex integrations, or a product-like internal platform. In these cases, a discovery process should confirm architecture, ownership, support, and delivery milestones before a meaningful price is offered.

“Custom” should not be used to hide pricing. It should indicate that the assumptions behind standard packages do not fit the work.

Four questions that matter more than employee count

First, how many people participate in the process? A 15-person company where every manager approves purchasing may need more workflow capability than a 30-person company with centralised operations.

Second, how many access levels are required? Admin, manager, employee, viewer, finance, and auditor roles increase design and testing needs.

Third, how many exceptions exist? One approval path is simpler than different thresholds by department, category, or entity.

Fourth, what must integrate? Slack or email notifications are different from two-way accounting, payroll, or identity integrations.

Use employee range as a starting signal, then use these questions to confirm the package.

Avoid buying future complexity

Teams sometimes choose Scale because they expect to grow. Growth should influence architecture, but not force every future workflow into the first phase.

Build records and permissions so modules can expand later. Launch the work that has clear owners and measurable value now. Add advanced rules when the organisation has actually agreed on them.

A phased Growth system can be more valuable than a broad Scale implementation that users do not adopt.

Compare the full cost, not only setup

Review the setup range, monthly service, migration responsibilities, third-party licences, integration limits, support, and cancellation terms. Confirm what happens to data at handover.

The current pricing comparison shows the baseline included at each level. Your final price depends on the modules, features, special rules, and delivery priority you select.

A simple decision rule

Choose Starter to establish trusted records and one straightforward workflow. Choose Growth to coordinate managers, approvals, documents, and dashboards. Choose Scale to control multi-department permissions, complex approvals, and integrations. Choose Custom when standard assumptions no longer describe the organisation.

If you are between packages, scope the first phase rather than debating labels. Configure your system and get an instant planning range. The recommendation will use team size as a baseline, then reflect the actual modules and capabilities you choose.
